From Frustration To Elation

Before enlisting Canon, Causeway Coast and Glens Borough Council was grappling with a multitude of operational challenges.

Feedback from users throughout the Council consistently highlighted the contrast in the quality and efficiency of their machines, creating a sense of inequality between the teams. The Council also found that due to age, their previous machines were difficult to source toner and parts for.

The council is now running a unified, cloud-based solution offered by Canon comprising of approximately 75 devices, and user feedback has been hugely positive. With the new suite of machines, employees are now able to print, scan, and access documents securely from wherever they are on Council property.

From Discord to Harmony

Having carried out a Discovery Assessment, Canon put together a plan to simplify the Council’s existing printing and scanning infrastructure and make it more uniform, cost effective, and easier to manage.

An on-site proof of concept was run in one of the Council’s busiest locations, and following its resounding success, a rollout plan saw every Council building updated within six months.

Saving While Innovating

As a public body, the Council had to be mindful of the costs associated with any change in printing infrastructure. They had to demonstrate a strong business case with a modernised solution, and simultaneously provide a reduction in expenditure – a challenge for anyone.

Canon were able to estimate a projected saving of £100k a year over the course of their initial three-year contract. The savings have continued since then, and the Council’s decision to move to a cloud-based solution has also saved them the potential expenditure of implementing costly network solutions such as leased lines.

Navigating Change Together

When the new solution was first implemented, Canon delivered comprehensive training to the Council’s IT department, equipping them with the knowledge and skills to efficiently self-serve. The training covered how to generate reports, customise controls, and achieve maximum efficiency from their new fleet of MFDs. Staff reported that the new machines were easy to use, and they were quickly able to benefit from new features – like the ability to scan and send documents as an email attachment, which increased efficiency on a department-wide scale.

This is a hugely beneficial change, as previously the range of providers and contracts meant the Council struggled to locate the right support when needed.
